Our client, a long-established key player in providing semi-conductor production equipment globally, is seeking a dynamic Administrative Assistant to join their growing team in the Kildare region.
This role will require some flexibility with local travel, so the Administrative Assistant will need to have their own transport.
It is a full time, permanent role. They offer hybrid working, 3 days in the office, 2 days working from home.
The Administrative Assistant will support daily operations across office management, purchasing, logistics and internal coordination. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Responsibilities:
Office Administration
- Provide general office support (phones, mail, supplies, filing).
- Schedule meetings, maintain calendars, and take minutes.
- Coordinate travel and maintain office equipment.
- Manage records, vendor contracts, and internal policies.
- Assist with reporting and support Field Service Engineers.
- Handle sensitive information with discretion.
Purchasing & Inventory
- Manage purchase orders, supplier communication, and inventory tracking.
- Handle documentation for purchasing and shipping.
- Organize asset records and lead cost-saving initiatives.
Shipping & Logistics
- Prepare shipping documents and ensure compliance with regulations.
- Track domestic and international shipments.
- Coordinate with freight forwarders and customs brokers.
- Support occasional physical handling of shipments.
General
- Drive process improvements and ensure a clean, ethical workplace.
- Communicate effectively with team members and leadership.
Requirements:
- Bachelor’s degree or equivalent experience.
- 4+ years in a similar role.
- Must have experience working in a multinational company
- Excellent attention to detail, multitasking, and communication skills.
- Proficient in Microsoft Office; comfortable with office equipment.
- Team-oriented, adaptable, and trustworthy with confidential information.
- Must enjoy working in a fast paced environment
- Must have own transport
