We are seeking an Operations Executive with crew desk experience in the shipping industry to oversee crew planning, scheduling, and vessel support. The role involves managing crew changes, maintaining compliance with maritime & local regulations, and coordinating with global crewing agents and internal teams.
Key Requirements:
·        2-3 years in a maritime operations with crew desk role
·        Strong knowledge of seafarer documentation
·        Excellent organizational and communication skills
·        Familiarity with crew management systems preferred
·        Prior experience in shipping, or logistics industries.
Key Responsibilities:
·        Coordinated daily crew assignments and vessel operations, ensuring compliance with maritime & local regulations, and internal policies.
·        Coordinated end-to-end crew management activities, including end to end planning, monitoring & scheduling 
·        Crew change operations for vessels calling at various ports, ensuring compliance with local immigration & port authority
·        Manage crew documentation, certifications, and scheduling to support timely vessel departures and crew changes.
·        Liaise with shipowners, manning agencies, port agents, and logistics providers to organize travel, documentation, and boarding arrangements for on-signers and off-signers.
·        Manage and track crew documentation, including seafarers' passports, visas, medicals, flag state endorsements, and STCW certificates.
·        Handle real-time crew desk operations including roster updates, availability tracking, and last-minute crew adjustments.
·        Oversee vessel operations support, including coordination of port clearance, provisioning, and logistics services in collaboration with operational teams.
·        Prepare cost estimates and assist finance teams with invoicing related to crew logistics, including flights, hotels, transport, and agency services.
·        Arrange crew logistics, including flights, hotels, transport, and agency services.
·        Provided 24/7 support for crew-related emergencies, vessel requirements, and operational contingencies.
·        Arrange berthing and sailing of the vessels in a timely manner
·        Co-ordination with port authorities, customs, sub-contractors, terminals etc
·        Timely vessel attendance on board – upon arrival, during the course of stay as required and prior sailing
·        Co-ordinate for timely delivery of all supplies and make arrangements to place them on board for timely departure of the vessel
·        Co-ordinate for clearing and delivering spares to/from vessels
·        Arrange port passes for personnel attending the vessel, suppliers delivering items etc.
·        Identify and execute any other requirements as requested by the Master during vessel stay with approval from the Marine Manager.
