Basic Role Summary:
The Logistics Specialist is responsible for coordinating and executing the timely and compliant shipment of pharmaceutical products to customers once QA release is confirmed. The role ensures all transportation, documentation, and handling—especially for Dangerous Goods (DG)—are fully compliant with GDP, ADR, IATA, IMDG, and internal quality standards. The Specialist works closely with Production, Quality Assurance, Customer Service, and external logistics partners to ensure flawless order fulfilment.
Location: Onsite at our facility in Loughrea.
As our Logistics Specialist, your key responsibilities will be as follows:
- Coordinate daily shipments of finished goods to domestic and international customers once product release is confirmed by QA.
- Ensure pick, pack, and dispatch activities are completed accurately and on time.
- Prepare and verify all shipping documentation (COAs, packing lists, commercial invoices, export declarations, airway bills, etc.).
- Maintain real-time visibility of shipment status and proactively resolve delays with carriers and freight forwarders.
- Monitor KPIs including OTIF, lead time, transportation cost, and customer delivery performance.
- Act as the site point of contact for Dangerous Goods compliance.
- Ensure all DG shipments meet ADR, IATA, and IMDG requirements.
- Prepare or verify DG documentation including DG declarations, labels, UN numbers, and packaging compliance.
- Conduct periodic checks to ensure DG packaging, labelling, and segregation meet regulatory requirements.
- Keep DG training certification up to date and ensure logistics partners are DG-approved.
- Ensure all logistics activities comply with Good Distribution Practice (GDP), GMP interface requirements, and company SOPs.
- Support audits from HPRA, FDA, customers, and corporate quality teams related to logistics and distribution.
- Perform root-cause investigation for logistics deviations, temperature excursions, or transit issues.
- Maintain controlled temperature loggers and interpret temperature mapping data where required.
- Use ERP/WMS systems (e.g., SAP, Pareto) to process orders, shipments, and inventory movements.
- Ensure accurate record-keeping for customs, DG compliance, and GDP documentation.
- Liaise with QA to prioritise released batches for dispatch.
- Communicate proactively with Customer Accounts and Planning on delivery status and constraints.
- Manage relationships with couriers, freight forwarders, and 3PLs, ensuring service levels meet site requirements.
- Support tendering, rate negotiations, and continual improvement of transport partners.
Qualifications and Experience:
- Bachelor’s degree in Supply Chain, Logistics, Business, or related field (desirable).
- 2+ years’ logistics experience in a pharmaceutical, chemical, or regulated manufacturing environment.
- Valid Dangerous Goods (ADR/IATA) certification or willingness to obtain.
- Strong understanding of GDP, GMP awareness, and international shipping regulations.
- Experience with ERP systems and logistics documentation.
- Excellent organisation, communication, and problem-solving skills.
