Key Responsibilities:
- The Logistics Team Leader is primarily responsible for Organize Shipment schedules and forwarding arrangements
- Oversee and manage all logistics operations, ensuring seamless coordination, timely delivery, and compliance with stringent standards and regulations.
- Lead and manage the logistics department, including planning, organizing, and supervising the movement, coordinating with internal parties (stores, procurement, end user,…etc.) and external parties (suppliers and customers).
- Coordinate inbound and outbound shipments, ensuring compliance with defense industry, UAE regulations and security protocols.
- Develop and implement logistics strategies and processes to optimize inventory management, transportation, and warehousing.
- Collaborate closely with procurement, production, and quality assurance teams to ensure material availability and on-time delivery.
- Monitor logistics performance metrics / KPIs, preparing regular reports for the Supply Chain Manager and senior management.
- Manage logistics staff, including recruitment, training, performance evaluations, and development.
- Ensure compliance with defense standards (e.g., ITAR, OSHAD,..etc) and maintain all necessary documentation for audits and inspections.
- Identify and mitigate risks related to logistics operations, including security risks, delays, and cost overruns.
- Liaise with external vendors, freight forwarders, and customs officials to facilitate smooth transportation and clearance of defense goods.
- Drive continuous improvement initiatives in logistics workflows, cost reduction, and customer service.
- Manage budget and resources for the logistics department effectively.
- Adhere to code of ethics as directed in the Procurement & Contracts Policy.
To manage the following:
- Coordinate and Communicate with Suppliers and customers for Shipment schedule and arrangements.
- Coordinate with Custom Clearance staffs to prepare Letters for incoming shipments i.e. NOC, Police Permit, End User Certificate.
- Prepare custom Exemption, Clearance and Transportation Letter to be handed over to Custom clearance Sr. Officer for submitting to GHQ
- Coordinate Communicate with Shipping and forwarding agents for the Vessel ETA and Delivery order charges.
- Negotiate with supplier and shipping companies for maximum free period of all import shipment clearance.
- Follow up with Suppliers to receive original shipping documents for custom clearance.
- Communicate with Finance department for arranging Payment for Delivery Order Collection and custom clearance.
- Handover Original shipping documents to Custom Clearance Sr. officer for arranging to collect Delivery Order and custom clearance.
- Responsible for arranging Third party Transportation / Equipment’s as per requirements
- Ensuring Zero demurrage / storage payments for all import shipments.
- Preparation of purchase requisition for Logistic requirements
- Communicate with Overseas customers for shipment arrangements and documentation.
- Coordinate with relevant department to prepare Export documentation i.e. Invoice, Packing List, MSDS
- Ensuring cost effective and reliable on time delivery mode for all outbound freight / shipments
- Maintain records of all Incoming and Outgoing Shipments
- Prepare delivery documents i.e. Delivery Note, Goods Issue, Packing list.
- Ensuring approved scrap movements arrangements are effectively carried out by the scrap dealer and related documents are submitted to finance.
- Responsible for arranging Logistic Support for Internal department
- Prepare and Monitor Logistics Department Budget
- Adhere to code of ethics as directed in the Procurement & Contracts Policy.
- Perform other tasks & duties as allocated by SCM manager.
Preferred Qualifications and Experience:
- Bachelor's degree in Business Management or Logistic Management
- Must have good negotiating skills and ability to establish and maintain effective working relation with forwarding agents and transporters
- Must have ability to work effectively in a multicultural team environment and to deal patiently and tactfully with staff members and others.
- Must have high degree of accuracy and competency required together with the ability to work systematically and to communicate complex matters both orally and in writing.
- Fluent in speaking English (Arabic is an advantage)
- Computer skills – Ability to use Microsoft Office/ERP
- Written skills – conveying information accurately in an appropriate written format, be able to express oneself effectively in writing
- Attention to detail – checking for accuracy in one’s work, controlling/eliminating errors, showing concern for all areas of a task however small
