Logistics & Administrative Coordinator

Dubai, UAE (Full-time, Monday to Friday)
Compensation
Up to AED 7,000 per month (depending on experience)
Overview:
The Logistics & Administrative Coordinator is responsible for managing the day-to-day operational, logistics, and administrative support functions of the business. This includes overseeing inventory, customs clearances, shipment coordination, invoicing, and warehouse communication. The ideal candidate will be detail-oriented, reliable, and adaptable, with a good understanding of e-commerce operations and logistics workflows.
Key Responsibilities:
• Manage incoming and outgoing shipments from international suppliers.
• Handle customs clearance coordination and liaise with freight providers.
• Create and manage commercial and pro forma invoices for international and domestic B2B orders.
• Coordinate directly with the fulfillment center and monitor order accuracy and service quality.
• Oversee fulfillment operations, ensuring timely and accurate order dispatch and issue resolution.
• Maintain SKU databases and ensure inventory accuracy across spreadsheets and Shopify systems.
• Support administrative product-related tasks such as barcode management and updating missing SKUs.
• Assist in customer service coordination by reviewing customer profiles and providing logistical solutions when required.
• Maintain and update internal records for logistics, invoicing, and warehouse tracking.
• Collaborate cross-functionally to ensure seamless fulfillment, order processing, and reporting.
Skills & Qualifications:
• Experience in logistics, operations, or administrative coordination (preferably within e-commerce).
• Strong understanding of international shipping procedures and customs processes.
• Proficiency in Shopify, Excel and Google Sheets.
• Strong organizational and multitasking skills with the ability to prioritize workload.
• Attention to detail and accuracy in handling data and invoices.
• Strong communication skills and ability to coordinate with external partners and vendors.
• Flexible and proactive approach to managing changing workflows (especially with warehouse expansion).
