Hours of work: 37.5 hours per week
Schedule: Monday to Friday, 09:00 - 17:30
Location: Working in the office with some hybrid working from home available
The Role: This role will be supporting the Logistics and Trade Compliance team in both daily duties and projects, playing a key role in ensuring smooth import and export operations. The main objective is to oversee international shipping documentation, customs compliance, and logistics coordination for UK and EU, maintaining compliance with trade regulations.
Duties will include:
- Manage all import and export documentation including commercial invoices, packing lists, bills of lading, and certificates of origin.
- Ensure all correct documentation is in place to enable timely import in areas of customs documentation and supplier documentation.
- Checking supplier's sales contract (SC); and ensure all information on PO and SC is coherent.
- Keep ERP System updated when new information is provided by suppliers.
- Providing regular status updates for delivery schedules.
- Answering sales queries by checking information with suppliers; or information from interdepartmental teams.
- Updating various reports concerning incoming goods.
- Ensure compliance with UK customs regulations, international trade laws, and company policies.
- Liaise with freight forwarders, shipping lines, customs brokers, and suppliers to coordinate shipments.
- Monitor shipment progress and resolve any delays, discrepancies, or customs issues.
- Maintain accurate records within internal systems and ensure audit-ready documentation.
- Providing support in answering customer queries relating to orders, shipments and deliveries
- Supporting on shipping methods, lead-time, and stock allocations.
- Work closely with finance teams regarding duties, VAT, and shipping costs as and when necessary
- Track and report on logistics performance and shipping schedules.
- Stay updated with changes in trade regulations and customs procedures.
Essential skills: To be successful in this role, you will have the following skills and attributes:
- IT literate with proficiency in key Microsoft packages
- Exceptional customer service and communication skills
- Excellent organisational and planning skills to manage multiple shipments simultaneously
- Outstanding attention to detail
- Excellent problem solver
- Deadline focused with ability to balance daily tasks with long-term projects
- Experience in import/export administration or international logistics
- Knowledge of UK customs procedures and international shipping documentation
Desirable skills:
- Experience with HMRC customs processes or CDS systems.
- Experience with Incoterms and freight management
- Understanding of customs procedures including Customs Warehousing
- Knowledge of commodity codes, tariffs and trade compliance
