Role Overview
We are looking for a Procurement Specialist who will support operational and project needs by defining, sourcing, negotiating, and managing the procurement of equipment and services. Working closely with technical teams, the role aims to ensure cost-effective, timely, and compliant purchasing while supporting project logistics and coordination with internal stakeholders. Fluency in Chinese is required due to supplier interactions.
Key Responsibilities
Procurement & Sourcing
- Collaborate with technical teams to define procurement needs, technical specifications, and cost estimates
- Define and implement procurement strategies in coordination with internal stakeholders
- Source equipment and services from qualified suppliers
- Prepare and manage RFQs, RFPs, and tenders, ensuring transparency and competitiveness
- Lead commercial negotiations on pricing, terms, delivery schedules, and payment conditions
- Evaluate supplier offers and make recommendations based on cost, quality, risk, and timelines
Purchasing Operations
- Raise and manage Purchase Requisitions (PRs) and Purchase Orders (POs) in line with internal procedures
- Ensure compliance with procurement policies, budgets, and approval workflows
- Track order status from placement to delivery and proactively manage delays or issues
- Maintain accurate procurement records and documentation
Reporting & Coordination
- Track procurement activities and prepare regular status reports for operations and management
- Coordinate closely with Finance (budget control, invoices, payments) and Logistics (delivery, customs)
- Act as a key point of contact between suppliers and internal stakeholders
Project & Logistics Support
- Provide procurement and logistics support to projects, including:
- Site access coordination
- Shipment coordination, freight follow-up, and delivery tracking
- Support project teams with ad hoc procurement and logistics needs
Qualifications
Experience & Education
- Bachelor’s degree in Supply Chain, Procurement, or a related field
- 3–5 years of experience in procurement, purchasing, or supply chain roles
- Experience with equipment and services procurement in a technological or automotive environment is an asset
Technical & Professional Skills
- Strong understanding of procurement processes, tendering, and contract negotiation
- Ability to read and understand technical specifications
- Experience with ERP or procurement systems for PR/PO management
- Strong analytical, organizational, and reporting skills
Language Requirements
- Fluent in English (written and spoken)
- Fluent in Chinese (Mandarin) – mandatory, for supplier communication and negotiations
Soft Skills
- Strong communication and stakeholder management skills
- Ability to work cross-functionally with technical, finance, logistics, and operations teams
- Proactive, detail-oriented, and able to manage multiple priorities
- Comfortable working in a fast-paced, international environment
Nice to Have
- Experience sourcing from Asian / Chinese suppliers
- Knowledge of international logistics, shipping, and incoterms
