Job Summary
Access Hire Middle East LLC is seeking a proactive and detail-oriented Transport and Logistics Coordinator, to manage daily transport operations, fleet scheduling, local and international logistics coordination. The role ensures timely delivery and collection of equipment, efficient route planning, compliance with safety and customs standards, and effective communication with drivers, site teams, suppliers, and customers.
Key Responsibilities
Transport & Fleet Coordination
- Plan, schedule, and coordinate daily vehicle movements for delivery and collection of equipment.
- Assign drivers and vehicles based on job requirements, availability, and urgency.
- Monitor vehicle utilization, fuel consumption, GPS tracking, and maintenance schedules.
- Ensure all fleet documentation (registration, insurance, permits, salik, etc.) is valid and up to date.
Logistics & Operations
- Coordinate inbound and outbound logistics, including loading/unloading schedules and site access requirements.
- Liaise with workshop, operations, and sales teams to align transport with job orders and project timelines.
- Track shipments and provide real-time updates to internal stakeholders and clients.
- Maintain accurate transport logs, delivery notes, gate passes, and job records.
International Shipping & Customs Documentation
- Coordinate import and export shipments via air, sea, and land freight.
- Prepare and review Commercial Invoices, Packing Lists, and CIPL (Commercial Invoice & Packing List) documentation.
- Classify and verify HS Codes for equipment, spare parts, and accessories to ensure customs compliance.
- Liaise with freight forwarders, customs brokers, and port authorities for clearance and delivery timelines.
- Ensure compliance with UAE customs regulations, duties, temporary import/export (ATA Carnet where applicable), and re-export procedures.
- Monitor shipping costs, transit times, and documentation accuracy to avoid delays or penalties.
Compliance & Safety
- Ensure adherence to UAE transport regulations, customs laws, and company HSE standards.
- Conduct periodic checks on driver licenses, vehicle conditions, and safety equipment.
- Support incident reporting, insurance coordination, and corrective actions when required.
Communication & Customer Service
- Act as the primary point of contact for drivers regarding schedules, route changes, and job updates.
- Communicate effectively with customers regarding delivery/collection timings and shipment statuses.
- Coordinate with third-party logistics providers and international agents when necessary.
Reporting & Administration
- Prepare daily, weekly, and monthly transport and logistics performance reports.
- Maintain digital and physical records of shipping, customs, and transport documentation.
- Assist management in cost control, vendor negotiations, and logistics performance tracking.
Qualifications & Requirements
- Bachelor’s degree or Diploma in Logistics, Supply Chain, Business Administration, or related field.
- Minimum 3–5 years of experience in transport/logistics coordination, preferably in equipment rental, construction, or industrial sectors.
- Hands-on experience with international shipping documentation, CIPL preparation, and HS Code classification is essential.
- Fluency in Hindi and English (spoken and written) is highly preferred.
- Strong knowledge of UAE road, customs, and transport regulations.
- Proficiency in MS Office (especially Excel); experience with ERP, TMS, or fleet management systems is an advantage.
- Valid UAE driving license is a plus.
