ISTIM Metals is a leading global warehousing company for non-ferrous metals traded on Futures exchanges, especially the London Metal Exchange (LME). As an exchange warehouse operator, ISTIM Metals has developed a wide range of expertise in moving/storing commodities and general cargo with services including Storage and Handling, Inbound Logistics, Outbound Logistics, and Value-added Services to facilitate inbound/outbound requirements.
Position Summary:
We are looking for an experienced Logistics Executive to manage marine freight bookings and customer service operations within the Company. The role involves coordinating shipments, liaising with LME-approved warehouses and 3rd party operators, and working with clients on end-to-end logistics solutions with a strong emphasis on compliance, customer satisfaction, and timely delivery.
Essential Duties and Responsibilities:
Marine Freight Booking and Management
- Arrange and manage marine freight for shipments, including negotiation with shipping lines/forwarders and booking cargo space.
- Ensure full compliance with Incoterms and shipping regulations for metals transport.
- Coordinate with carriers, forwarders, and brokers to manage schedules, costs, and documentation.
Storage and Warehouse Coordination
- Liaise with LME-approved storage facilities and third-party logistics providers for the movement and storage of metals across ISTIM Asia locations.
- Oversee inbound and outbound transfers to/from warehouses, ensuring accurate weight, quality, and ownership documentation.
- Working closely with ISTIM India team to ensure data are inputted correctly, working closely with the Service provider to ensure all customs documentations are accurate.
Customer Service
- Act as the primary contact for clients regarding shipment updates, documentation, and logistics queries.
- Manage customer bookings, inquiries, and complaints professionally to ensure high service levels. Advising on any unforeseen charges and assisting clients to minimize them.
- Provide regular shipment tracking updates and proactive communication to customers regarding timelines and potential issues.
Documentation and Compliance
- Prepare and verify all shipping and customs documents such as Bills of Lading, Shipping Instructions, Certificates of Origin, and Detailed packing list.
- Maintain accurate records for audit, regulatory, and operational purposes.
Internal Coordination and Reporting
- Work closely with the Commercial, Accounting, and Warehouse operation teams to align logistics planning with trading activities.
- Produce cost reports, analysis of profitability and customer service feedback for management review.
- Monitor freight and storage costs trend, identifying opportunities for optimization.
Qualifications:
- Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related field.
- 5+ years’ experience in international logistics, preferably within commodities warehousing, or marine freight sectors.
- Knowledge of LME procedures, warrant management, and metals storage operations is highly preferred.
- Strong understanding of marine freight booking processes, INCOTERMS, and customs clearance.
- Excellent customer service with a solution-oriented mindset.
- Possesses strong written & verbal communications, organizational and interpersonal skills
- Proficiency in logistics and inventory management systems; experience with LME systems (e.g., LMEsword) is a plus.
- Highly organized with strong attention to detail and ability to work in a fast-paced environment.
