Job Summary:
We are seeking a detail-oriented and proactive Logistics Specialist – Imports & Exports to join our team. The ideal candidate will be responsible for coordinating inbound and outbound shipments, ensuring timely deliveries, and supporting cross-border trade operations. This role involves close collaboration with freight forwarders, customs agents, and internal teams to ensure seamless logistics execution. You will play a key role in optimizing supply chain processes and maintaining high standards of accuracy and efficiency in daily logistics operations.
Key responsibilities:
Inbound Coordination:
- Coordinate sea freight purchase orders (POs) with freight forwarders and suppliers to ensure timely loading and dispatch.
- Negotiate sea freight rates from Europe and China in alignment with targeted KPIs.
- Analyse logistics costs and implement cost-saving initiatives.
- Manage Estimated Time of Arrival (ETA) performance to meet logistics KPIs.
- Collaborate with the clearance team to ensure timely customs clearance and avoid demurrage or port storage charges.
- Validate Goods Receipt Notes (GRN), identify short or excess receipts, and coordinate with the planning team for resolution.
- Prepare and share weekly reports on the status of upcoming shipments, including any delays or changes.
- Share monthly logistics updates covering freight performance, On-Time Performance (OTP), and container fill rate.
- Manually update ETA details in the ERP system to ensure system accuracy.
Outbound Orders – Local & Export:
- Lead weekly coordination meetings with the sales and 3PL teams to review and update the status of ongoing orders.
- Monitor and track delivery performance against Sales Order (SO) ETAs.
- Provide visibility into the order pipeline, including readiness and potential risks or delays.
- Ensure timely booking of all import shipments to meet outbound delivery schedules.
- Liaise with 3PL partners to ensure timely and accurate delivery of customer orders.
Regional Logistics – KSA & Other GCC Markets
- Coordinate with the E-commerce team to manage replenishment orders for the KSA market.
- Ensure all stakeholders are kept informed regarding shipment movements from the UAE.
- Notify Pro-connect to arrange freight and clearance under Importer of Record (IOR) procedures (Blue Ocean Team).
- Track shipments and confirm GRN receipt in accordance with commercial agreements.
- Organize shipments from the UAE to Egypt, coordinate with freight forwarders, and ensure customer approval of shipping documents before dispatch.
Free Zone Operations & Regulations
- Possess in-depth knowledge of Free Zone processes, procedures, and regulatory requirements (e.g., JAFZA, DMCC, DAFZA or equivalent).
- Handle cargo movements within Free Zones, including transfers, re-exports, and value-added services such as labelling and repackaging.
- Ensure compliance with Free Zone authority requirements and maintain updated licenses, permits, and documentation.
- Liaise with Free Zone authorities to resolve operational issues and ensure smooth flow of goods.
Key Skills & Requirements
- Bachelor's degree in Supply Chain, Logistics, Business Administration, or a related field.
- 2–4 years of experience in logistics, import/export operations, or international trade.
- Familiarity with UAE/GCC customs regulations (or relevant region, if applicable).
- Proficiency in MS Office, especially Excel; knowledge of ERP/logistics software is a plus.
- Strong analytical skills and attention to detail.
- Ability to work independently and in a fast-paced environment.
