岗位定位:作为全球公司本地行政核心骨干,立足迪拜/马来西亚办公区,专注行政事务统筹与落地,对接全球总部行政体系,结合当地政策、文化特点,优化行政流程,保障办公高效有序,支撑公司本地及区域业务落地,打造国际化、规范化的行政服务体系,独立完成各项高阶行政工作。
岗位职责:
- 日常行政统筹:全面负责办公区日常运营管理,包括办公环境维护、办公用品采购与库存管控、固定资产管理(登记、盘点、维护、处置)、办公设备运维等,降低行政成本,提升办公效率,独立处理各类日常行政事务。
- 会议与活动管理:统筹公司本地会议、员工活动及全球总部联动活动(如区域会议、团建、商务接待),负责场地布置、流程衔接、物料准备、费用管控及后期复盘,确保活动顺利开展,无需负责人员调度。
- 流程优化与制度落地:对接全球总部行政管理制度,结合迪拜/马来西亚当地法律法规、文化习俗,修订完善本地行政管理制度及流程(如考勤管理、差旅报销、后勤服务等),监督制度执行,及时优化不合理环节,推动流程标准化落地。
- 商务接待与外联:负责本地政府部门、合作方、全球总部来访人员的高端商务接待工作,统筹接待流程,维护良好的外联关系;对接本地物业、供应商(餐饮、保洁、安保等),做好合作管理与服务监督,独立完成外联对接事宜。
- 差旅与后勤支持:统筹本地员工及来访人员的差旅安排(机票、酒店、交通预订),负责差旅费用的审核与上报;协调员工后勤保障事宜,包括住宿、餐饮、签证协助等,提升员工归属感,独立处理后勤相关诉求。
- 合规与风险管控:熟悉迪拜/马来西亚当地劳动、行政相关法律法规,确保行政工作合规开展(如用工后勤、办公安全、证照办理等);负责办公区安全管理,排查安全隐患,处理行政突发情况,独立应对各类行政风险。
- 文件与报表管理:负责本地行政文件、报表的整理、统计、上报工作,同步本地行政工作进展至亚太区行政经理,配合区域内其他办公区的行政协同工作,确保数据准确、反馈及时。
- 其他行政相关工作。
任职要求:
- 学历要求:本科及以上学历,行政管理、工商管理、公共事业管理等相关专业优先;有全球企业、跨国公司行政主管任职经验者可放宽至大专。
- 工作经验:5年及以上行政管理工作经验,具备独立统筹行政事务的能力;有迪拜/马来西亚本地行政工作经验者优先,熟悉当地行政流程、法律法规及文化习俗者加分,有工程行业、综合集团海外行政经验者优先。
- 语言能力:精通中英文双语,可作为工作语言,能独立对接全球总部及本地合作伙伴;迪拜岗位优先掌握阿拉伯语基础,马来西亚岗位优先掌握马来语基础,能进行日常沟通及文件理解。
- 专业能力:具备优秀的行政统筹、流程优化及成本管控能力,能独立处理复杂行政事务,无需他人协助即可完成各项核心工作;熟练使用Office办公软件(Word、Excel、PowerPoint、Outlook),熟悉办公设备运维及行政办公系统操作。
- 综合素质:具备较强的沟通协调能力、组织策划能力及问题解决能力,责任心强、执行力强,注重细节;具备良好的跨文化沟通意识,能适应全球公司的国际化工作节奏,抗压能力强,有创新意识和独立工作能力。

Job Orientation:As the core local administrative backbone of the global company, based in the office in Dubai/Malaysia, this role focuses on the coordination and implementation of administrative affairs, coordinates with the global headquarters' administrative system, optimizes administrative processes in combination with local policies and cultural characteristics, ensures efficient and orderly office operations, supports the company's local and regional business implementation, builds an international and standardized administrative service system, and independently completes various high-level administrative tasks.
Job Responsibilities:
Daily Admin Coordination: Fully responsible for the daily operation management of the office area, including office environment maintenance, office supplies procurement and inventory control, fixed asset management (registration, inventory, maintenance, disposal), office equipment operation and maintenance, etc., reduce administrative costs, improve office efficiency, and independently handle various daily administrative affairs.
Meeting & Event Management: Coordinate local company meetings, employee activities and global headquarters linked activities (such as regional meetings, team building, business reception), responsible for venue arrangement, process connection, material preparation, cost control and post-event review to ensure the smooth progress of activities, without being responsible for personnel scheduling.
Process Optimization & System Implementation: Coordinate with the global headquarters' administrative management system, revise and improve local administrative management systems and processes (such as attendance management, business trip reimbursement, logistics services, etc.) in combination with local laws, regulations and cultural customs in Dubai/Malaysia, supervise the implementation of systems, timely optimize unreasonable links, and promote the standardization of processes.
Business Reception & External Relations: Responsible for high-end business reception of local government departments, partners and visitors from the global headquarters, coordinate the reception process and maintain good external relations; connect with local property management and suppliers (catering, cleaning, security, etc.), do a good job in cooperation management and service supervision, and independently complete external liaison matters.
Business Trip & Logistics Support: Coordinate the business trip arrangements (air ticket, hotel, transportation booking) for local employees and visitors, responsible for the review and submission of business trip expenses; coordinate employees' logistics support matters, including accommodation, catering, visa assistance, etc., to enhance employees' sense of belonging, and independently handle logistics-related demands.
Compliance & Risk Control: Familiar with local labor and administrative related laws and regulations in Dubai/Malaysia, ensure that administrative work is carried out in compliance (such as employment logistics, office safety, license handling, etc.); responsible for office area safety management, investigating potential safety hazards, handling administrative emergencies, and independently responding to various administrative risks.
Document & Report Management: Responsible for the sorting, statistics and submission of local administrative documents and reports, synchronize the progress of local administrative work to the APAC Admin Manager, cooperate with the administrative coordination work of other offices in the region, and ensure accurate data and timely feedback.

Requirements:
Education: Bachelor's degree or above, major in Administration Management, Business Administration, Public Administration or related fields is preferred; those with Admin Supervisor experience in global enterprises or multinational companies can be relaxed to a college degree.
Work Experience: 5 years or more of administrative management experience, with the ability to independently coordinate administrative affairs; experience in local administrative work in Dubai/Malaysia is preferred, those familiar with local administrative processes, laws, regulations and cultural customs will be given priority, and those with overseas administrative experience in engineering industry or comprehensive group are preferred.
Language Ability: Proficient in bilingual Chinese and English, which can be used as working languages, and can independently coordinate with the global headquarters and local partners; Basic Arabic is preferred for Dubai position, and basic Malay is preferred for Malaysia position, which can be used for daily communication and document understanding.
Professional Ability: Possess excellent administrative coordination, process optimization and cost control capabilities, can independently handle complex administrative affairs, and complete various core tasks without assistance; Proficiency in Office software (Word, Excel, PowerPoint, Outlook), familiar with office equipment operation and maintenance and administrative office system operation.
Comprehensive Quality: Possess strong communication and coordination skills, organization and planning skills and problem-solving ability, strong sense of responsibility, strong execution and attention to details; Possess good cross-cultural communication awareness, can adapt to the international work rhythm of global companies, strong pressure resistance, innovative awareness and independent work ability.
Other Requirements: Able to work locally for a long time; No bad employment record, good image and temperament, and good professional quality; Hold a valid local driver's license and be able to drive independently to handle official affairs is a plus.
