Job Objective
Results-driven Operations Executive with hands-on experience in shipping agency operations within the UAE, seeking to contribute to a dynamic maritime organization by ensuring efficient vessel operations, regulatory compliance, and seamless coordination between principals, port authorities, and service providers. Adept at managing end-to-end port call activities including vessel clearance, documentation, husbandry services, and turnaround optimization, while strictly adhering to UAE maritime laws, port regulations, and international shipping standards.
Committed to delivering high-quality operational support by maintaining accurate documentation, controlling operational costs, resolving on-ground issues proactively, and ensuring timely communication with ship owners, charterers, terminal operators, and customs authorities. Possesses strong organizational and multitasking skills, with the ability to perform effectively in fast-paced port environments such as Jebel Ali, Khalifa Port, Fujairah, Khor Fakhan, and other UAE ports.

Key Responsibilities
1. Vessel Operations & End-to-End Coordination
- Take primary responsibility for the complete coordination of all vessel-related operational matters, ensuring smooth and speedy turnaround of vessels.
- Manage end-to-end port call operations including ETA coordination, berth planning, port formalities, sailing clearances, and vessel departure.
- Act as the central coordination point between clients, vessel masters, port authorities, terminals, and service providers.
- Proactively handle operational challenges, contingencies, and emergencies, providing practical solutions to clients and principals.
2. Crew Matters & Husbandry Services
- Coordinate all crew-related activities including crew change, medical attendance, repatriation, shore passes, and visa formalities.
- Ensure timely receipt of NOCs from relevant authorities for crew change, stores delivery, medical attendance, or technicians attending vessels.
- Arrange husbandry services such as provisions, spare parts, stores, bunkers, freshwater, sludge removal, and other vessel requirements.
- Liaise with customs, immigration, and port security authorities to ensure compliance with UAE regulations.
3. Client Servicing & 24x7 Operational Support
- Provide round-the-clock operational support (24x7) by monitoring emails and attending phone calls, assessing urgency, and taking appropriate action.
- Ensure prompt response and execution of all incoming and outgoing operational communications.
- Deliver high service levels and ensure customer expectations are consistently met or exceeded.
- Maintain clear, timely, and professional communication with clients regarding vessel status, operations, and exceptions.
4. Documentation, Compliance & QMS / ISO Adherence
- Ensure all operational activities comply with:
- UAE Port Authority, Customs, Immigration, and Coast Guard regulations
- International maritime conventions (SOLAS, MARPOL, ISPS)
- Adhere strictly to Quality Management System (QMS) and ISO standards in all operational processes.
- Ensure proper documentation, filing, and recordkeeping for audits, inspections, and compliance reviews.
- Document customer complaints, conduct detailed investigations, and raise CPARs (Corrective & Preventive Action Reports) in line with ISO requirements.
5. Financial Monitoring & Cost Control
- Closely monitor funds status for ongoing port calls and operations.
- Coordinate with principals and clients to request advance funding and issue reminders in case of shortfall.
- Assist the accounts team with operational checklists, supporting documents, and billing requirements.
- Support preparation and verification of Proforma and Final Disbursement Accounts (DA).
6. Service Quality & Customer Satisfaction
- Ensure service levels provided to customers are exemplary and consistent with company standards.
- Proactively identify service gaps and take corrective actions.
- Maintain strong client relationships through professionalism, accountability, and responsiveness.
- Support continuous improvement initiatives aimed at operational excellence.
Requirements
Bachelor’s Degree or equivalent
Minimum 2-3 years prior experience preferably in a shipping and logistics environment
Good communication skills, time management, planning and organizing
Proficiency in Basic MS Office application (word, excel, outlook, power point, etc
Fluency in spoken and written English
