Role Overview:
The Travel Executive is responsible for managing end-to-end travel arrangements in support of business aviation operations. This includes organizing flights, accommodation, visas, ground transport, and concierge services for crew and passengers. The role ensures all logistics comply with client requirements and company procedures, delivering timely, accurate, and high-quality service in a fast-paced environment.
Key Responsibilities:
- Facilitate internal and external customer requests from beginning to end, including arranging airline tickets, making accommodation reservations, organizing transportation, securing visas, providing meet-and-assist services, and other concierge services.
- Provide customers with quotations in accordance with the client’s travel policy, ensuring accurate travel-related information is provided and optimal rates are acquired.
- Facilitate all arrangements with suppliers, including processing payments.
- Provide customers with all relevant information and documentation pertaining to their travel arrangements and the destination, including political and economic environments, major events, and special requirements for groups.
- Reconfirm bookings and notify clients of luggage limits, insurance, medical, passport, visa, and currency requirements.
- Assist with changes to travel arrangements and bookings as needed.
- Collaborate closely with all other departments to ensure efficient and professional service delivery.
- Ensure that all requests are accurately processed within the prescribed turnaround time.
- Adhere to any quality assurance procedures/checklists for all bookings.
- Immediately report any problems or complaints to the Travel Supervisor for prompt resolution.
- Maintain a high level of confidentiality at all times.
- Ensure that all internal and external databases, including those of suppliers, employees, and customers, are always updated.
- Perform special tasks and duties assigned by the Travel Supervisor/Manager/Director. 
Required Qualifications:
- Must have at least 5-7 years of proven experience in Business, Groups & Leisure travel operations, preferably as a Travel Agent in a Business/Corporate Travel Agency.
- The ideal candidate should possess experience and proficiency in utilizing travel technology solutions, excellent organizational skills, with a keen attention to detail, and the ability to manage multiple travel bookings simultaneously under tight deadlines, and work under pressure.
- Knowledge of international regulations, customs, and procedures related to aviation and hospitality travel operations is preferred.
- Proficiency in travel management software such as GDS (Amadeus, Sabre, Galileo, etc.), Travel Online Booking Tools, Lodging & Ground transportation suppliers/aggregators and the Microsoft Office Suite.
