Procurement and Logistics Executive is responsible for managing international (primarily) and local purchasing activities, coordinating import–export operations, and ensuring timely and cost‑effective material availability. The role interfaces with suppliers, 3PL providers, local Finance and Corporate Supply Chain departments to support smooth end‑to‑end supply chain operations and accurate documentation. The Executive is expected to apply responsible purchasing practices, support sustainable and compliant sourcing, and contribute to continuous improvement of the supplier base.
S/he also acts as a local SAP ambassador, ensuring that Corporate best practices in procurement and logistics are implemented, promoted and sustained within the country (process standardization, user support and continuous improvement).
Responsibilities:
- Manage international and local procurement from RFQ to payment.
- Source, evaluate and negotiate with suppliers to secure best commercial and contractual terms; perform occasional sourcing of new suppliers when required.
- Handle import–export processes, ensuring compliance with customs regulations and required documentation.
- Coordinate with 3PL companies (freight forwarders and transport providers) for shipments, deliveries and storage.
- Create and manage purchasing documents in SAP (purchasing and logistics modules) – PR/PO creation, GRN posting, tracking deliveries, resolving discrepancies.
- Monitor shipment status, follow up with suppliers and logistics partners to avoid delays and resolve issues (shortages, damages, documentation errors).
- Ensure accurate and timely processing of GRN, supplier invoices and credit notes, supporting finance for payment processing.
- Maintain up‑to‑date pricing, lead times and supplier data in SAP and relevant logs.
- Support aftersales processes related to spare parts, replacements and warranty/service logistics.
- Prepare basic procurement and logistics reports (spend, delivery performance, open orders, stock movements).
- Apply and promote responsible purchasing practices in line with company policies (compliance, ethics, sustainability, ESG if applicable).
- Conduct supplier visits when needed to verify capabilities, quality, compliance and performance, and when relevant pay visits to customs offices to resolve specific clearance issues.
- Be solely in charge of annual supplier evaluation in accordance with internal procedures and KPIs (quality, service, cost, compliance, sustainability, etc.).
- Participate in internal and external audits related to procurement, logistics and supplier management, and implement agreed corrective actions.
Key Qualities Required:
A suitable candidate:
- Has proven experience in procurement and logistics, with focus on international purchasing and import–export operations.
- Has solid knowledge of import–export procedures, customs requirements and related documentation.
- Has practical experience working with 3PL providers (freight forwarders, customs brokers, transport and warehousing companies).
- Is an advanced user of SAP, with hands‑on experience in purchasing and logistics modules (PR/PO creation, GRN posting, stock movements, delivery tracking).
- Understands basic accounting / P2P flow: RFQ – Quote – PO – GRN – Invoice – Payment and ensures correct documentation at each step.
- Has basic understanding of aftersales processes: spare parts ordering, returns, warranty replacements and related logistics.
- Demonstrates strong awareness of responsible purchasing practices (ethical sourcing, compliance with company policies, sustainability aspects where applicable).
- Is comfortable performing occasional supplier sourcing and visits, and interacting with customs offices or authorities when required.
- Has experience in supplier performance reviews and follow‑up of corrective actions.
- Is accurate, organized, and able to manage multiple orders and shipments simultaneously.
- Has strong communication skills in English (speaking and writing); other languages are an advantage.
- Is confident with MS Office (especially Excel) for tracking and reporting.
Qualifications: (State minimum requirements to meet the demands of the job including working experience and education background)
- Degree in Supply Chain, Logistics, Business Administration, Accounting, or related field (or equivalent experience).
- Minimum 2 years of experience in procurement and logistics, preferably with international purchasing exposure.
- Mandatory: hands‑on experience with SAP (purchasing and logistics modules).
- Mandatory: Experience with import–export, customs clearance and 3PL coordination.
