About the Role
The Logistics & Warehouse Coordinator plays a key role in ensuring the smooth flow of goods through Medguard’s warehouse and dispatch operations. This role sits at the day‑to‑day coordination between the warehouse, customer service, sales, and courier partners.
The role requires strong attention to detail, excellent organisational skills, and the ability to manage multiple priorities in a regulated environment. Working in line with GDP requirements and Medguard’s SOPs, the Logistics & Warehouse Coordinator supports the effective coordination of warehouse and dispatch activities, resolves issues efficiently, and ensures high standards of compliance and housekeeping are maintained at all times.
Principal Duties and Responsibilities
- Order Processing & Dispatch Coordination
- Ensure picking tickets are available, accurate, and monitored throughout the day.
- Liaise with Warehouse and Customer Services teams regarding order changes, urgent orders, WMS queries, and orders on hold.
- Communicate delivery, stock, or quality issues promptly to relevant internal teams.
- Investigate delivery discrepancies, shortages, or customer-reported issues.
- Maintain daily communication with courier partners, tracking deliveries and escalating issues as required.
- Provide Proof of Delivery (PODs) to customers and internal teams when needed.
- Returns & Goods Inwards
- Process customer returns in line with GDP guidelines and Medguard Returns SOPs.
- Maintain awareness of the risk of falsified medicines entering the warehouse through returns.
- Report and escalate any return shortages, discrepancies, or quality issues.
- Process goods inwards and liaise with suppliers and the Purchasing team regarding shortages or discrepancies.
- Raise supplier return authorisations and arrange uplifts where required.
- Systems, Records & Reporting
- Run and manage stock and dispatch reports as directed by the Team Leader or Manager.
- Maintain accurate documentation and records in line with Medguard SOPs and record retention requirements.
- Ensure confidentiality of all customers, supplier, and third‑party information at all times.
- Communication & Customer Support
- Respond to internal and external queries relating to dispatch, shipping, stock availability, and alternatives.
- Ensure all emails are responded to by end of shift, with carry‑over kept to a minimum.
- Maintain effective communication with customers, partners, and internal stakeholders.
- Compliance, Health & Safety
- Maintain high GDP standards across all warehouse and dispatch activities.
- Follow all relevant SOPs, Health & Safety, environmental, and company policies.
- Report unsafe behaviour or housekeeping issues in the office or warehouse promptly.
- Housekeeping & General Duties
- Maintain a clean, organised workspace, with daily filing and desk organisation.
- Support general office duties including calls, emails, correspondence, and administrative tasks.
- Work closely with Warehouse Operatives on tasks impacting warehouse and office operations.
- Support special projects and carry out other reasonable duties as required by the business.
- Other Duties
- Perform other duties as required, per business needs.
Required Experience and Qualifications
- Experience in healthcare, logistics, warehouse or regulated industries is an advantage.
- Ability to work collaboratively with warehouse, customer service, and sales teams.
- Must be highly organised and self-motivated, with the ability to manage multiple priorities effectively.
- Excellent communication skills with a proven ability to maintain accuracy and attention to detail.
- IT proficiency considered an advantage.
- Familiarity with ERP systems such as NetSuite is desirable.
- Knowledge of GDP Guidelines (2013/C343/01) or willingness to learn.
