Job Overview:
We are seeking an experienced and proactive Shipping Manager to lead and oversee all aspects of the company's shipping, import/export operations, and documentation across multiple locations. The ideal candidate will ensure efficient, compliant, and cost-effective shipping processes while driving continuous improvement in coordination with internal teams, government authorities, and external partners such as freight forwarders, customs officials, and clearing agents.
This role requires a hands-on manager with strong expertise in import/export regulations, documentation, and operational efficiency in both Local (Mainland) and Free Zone setups.
Key Responsibilities:
1. Shipping Operations Management
- Oversee and manage all import/export operations including customs documentation, clearance, and compliance across local, free zone, and GCC borders.
- Ensure smooth coordination with freight forwarders, clearing agents, and internal teams for timely cargo booking, delivery, and documentation accuracy.
- Develop, monitor, and improve shipping and clearance procedures to minimize delays and costs.
- Proactively resolve shipment delays, clearance issues, and discrepancies with customs and freight agents.
- Manage and oversee preparation of all types of customs declarations in Dubai Trade (Mirsal II portal) and other relevant systems.
2. Documentation & Compliance
-Ensure accurate and timely preparation of all commercial, customs, and regulatory documents, including:
- Bills of Entry (BOE)
- Declaration Certificates
- Certificates of Origin (Dubai Chamber Portal)
- Customs Inspection Documents
- VAT Documentation & Return Files
- Product registrations
- Maintain up-to-date knowledge on customs regulations, import/export laws, and VAT procedures across the UAE and GCC.
- Monitor all customs compliance requirements, ensuring alignment with internal policies and external regulations.
3. Team Supervision & Coordination
- Lead and guide the shipping documentation team, ensuring clear task assignments, training, and performance monitoring.
- Coordinate with warehouse, sales, and inventory teams to align shipping schedules and documentation needs.
- Act as a key liaison between internal departments, external authorities, and service providers to resolve operational challenges.
4. Document Control & Management
- Establish and maintain a centralized document management system to organize, archive, and retrieve all shipping-related documentation, both electronically and physically.
- Ensure document accuracy, completeness, and timely filing in line with company policies.
- Implement regular audits of shipping documents to ensure compliance and identify process improvement opportunities.
5. Reporting & Analytics
- Develop and maintain periodic reports on shipping activities, clearance status, document processing times, and cost analysis.
- Provide data-driven insights and recommendations to improve cost-efficiency and streamline processes.
- Support management with special reports, statistical analyses, and trend analysis related to shipping and import/export operations.
6. Customs & Trade Relations
- Build and maintain positive working relationships with customs officers, port authorities, and trade regulators to facilitate smooth clearance and regulatory adherence.
- Keep up-to-date with changes in customs policies, documentation requirements, and trade agreements affecting company shipments.
- Manage Makasa Stamping procedures for cross-border transactions between Jebel Ali Free Zone, RAK Free Zone, and GCC countries.
7. Logistics Process Optimization
- Continuously review and enhance shipping workflows, cost control measures, and delivery timelines to support the company’s business objectives.
- Identify process bottlenecks and implement corrective actions for smoother operations.
- Explore and implement automation tools for document preparation, tracking, and reporting.
8. Vendor & Courier Coordination
- Negotiate and manage contracts with freight forwarders, customs brokers, and courier services (DHL, TNT, UPS, FedEx) to ensure competitive rates and reliable service.
- Oversee arrangement and tracking of courier shipments, including document preparation and pickup scheduling.
Skills & Qualifications:
- Bachelor’s degree in Logistics, Supply Chain, Business Administration, or related field.
- Minimum 5-7 years of experience in shipping, import/export documentation, customs clearance, and trade compliance, preferably within FMCG or Consumer Electronics sectors.
- Strong leadership and team management skills with prior experience in supervising documentation teams.
- Excellent knowledge of Dubai Trade (Mirsal II) and Free Zone portals.
- In-depth understanding of customs regulations, GCC trade agreements, VAT, and BOE procedures.
- Strong analytical, problem-solving, and negotiation skills.
- Proficient in MS Office (Excel, Word, Outlook).
- Valid UAE driving license is an advantage.
- Ability to work under pressure and meet tight deadlines in a fast-paced environment.
Preferred Experience:
Prior experience managing shipping for multi-branch, multi-country operations across GCC.
Strong background in trade document archiving and compliance reporting.
Location: Dubai (with occasional travel to other GCC countries if required)
