Job Title: Manager – Performance Travel & Music Programs

Overview
We are seeking (for our client) an experienced travel industry professional with deep expertise in performance-based music travel, responsible for managing, enrolling, and executing band, orchestra, choir, and performance group programs across the United Kingdom, Ireland and other European Destinations. This role requires strong relationships with performance venues, festivals, educators, tour operators, and hospitality partners, as well as exceptional project management and client-facing skills.
The ideal candidate is highly organized, culturally aware, and passionate about delivering high-quality performance travel experiences for student and professional music groups.
Key Responsibilities
Performance Program Management
- Manage end-to-end performance travel programs for bands, orchestras, choirs, and music ensembles
- Secure and coordinate performance opportunities (festivals, competitions, parades, showcases, cultural exchanges)
- Oversee program enrollment, contracts, confirmations, and performance requirements
- Ensure artistic, educational, and logistical expectations are met for every program
Travel & Logistics Coordination
- Design and manage domestic and international itineraries including air, ground transportation, hotels, meals, and rehearsal venues
- Coordinate with hotels, DMCs, airlines, venues, and suppliers across the different destinations.
- Ensure adherence to timelines, room blocks, ticketing deadlines, visas, and customs requirements
Client & Partner Relations
- Serve as the primary point of contact for tour leaders, and group organizers.
- Build and maintain relationships with performance venues, festivals, and international partners
- Present proposals and lead planning calls, walkthroughs, and pre-departure briefings
- Handle on-the-road issue resolution when necessary
Compliance & Risk Management
- Ensure compliance with performance contracts, insurance requirements, waivers, and travel regulations
- Oversee duty-of-care standards for student and youth travel
- Coordinate contingency planning for weather, travel disruptions, or performance changes
Business Development Support (as applicable)
- Assist with sourcing new performance programs and destinations
- Provide insights into market trends in performance and educational travel
- Support marketing initiatives and client proposals related to music travel
Qualifications
Required
- 5–10+ years experience in travel, tourism, or group travel management
- Proven experience working with Student travel, performance music groups (band, choir, orchestra, performing arts)
- Strong knowledge of the European Market for international group travel logistics
- Experience negotiating with hotels, venues, festivals, and ground operators
- Exceptional organizational, communication, and problem-solving skills
Preferred
- Background in music education, performing arts, or student travel
- Experience with international festivals, competitions, and cultural exchanges
- Familiarity with travel technology platforms (CRM, tour management systems, booking tools)
- Ability to travel internationally as needed
